The “Best Practices” meeting is the first joint ASRM/ESHRE meeting of its kind and has already been widely advertised. We are hopeful that the meeting will attract specialists in the field from both Europe and the US and will provide an opportunity to advertise your latest products.

Exhibit Stand Assignment

The number of stand spaces will be limited and therefore assignment of spaces will be on a first come first serve basis.

 

 

Breaks

Coffee breaks will be held each day from 16.50 to 17.10, during which participants will be available to visit the exhibit.

 

 

Stand Space Rental Rates

Since the number of available exhibit spaces will be limited, only one space unit of 6 m2 can be offered per exhibiting company. The price for one unit will be 3,000 Euro (exclusive VAT)

Prices include rental of exhibit space only, and do not include a shell scheme!

 

 

Method of Payment and Cancellation Procedure

Exhibit spaces will only be allocated after receipt of the fully completed application form. Subsequently an order confirmation will be sent to the exhibiting company. An invoice in payment of the full rental fee will be sent following the order confirmation.

The Exhibitor may, free of charge, cancel a booking of a stand space for a stand within 30 (twenty) days from the date of order confirmation. If a cancellation is made later than this date, the Exhibitor is charged 100 (one hundred) % of the rent for the stand space. Stand spaces cannot, fully or partly, be assigned or sublet by the Exhibitor without ESHRE’s approval.

 

 

Admission Badges

Admission badges for the exhibition and for the meeting will be provided to each exhibiting company including:

• 3 exhibitor badges free of charge (i.e. no admission to the scientific sessions)
• 1 badge giving access to the scientific sessions free of charge

 

 

Commercial Sponsorship

In order to maximise exhibit investments, additional sponsorship opportunities are offered. These include the following items (all prices mentioned below are exclusive VAT):

Premier sponsorship (includes back cover inside cover 2 and 3)
• Price = 5,000 Euro (exclusive VAT)

Back cover advert
• Price = 2,500 Euro (exclusive VAT)

Inside cover front advert
• Price = 2,000 Euro (exclusive VAT)

Inside cover back advert
• Price = 2,000 Euro (exclusive VAT)

Inside advertisements
• full page Price = 1,000 Euro (exclusive VAT)
• 1/2 page Price = 500 Euro (exclusive VAT)

 

 

Insert in Delegate Bags

Price = 2,000 Euro per insert (exclusive VAT)

All participants will receive a bag that will contain meeting materials. Sponsors can supply advert leaflets and brochures for inclusion in the delegate bags. The maximum allowed dimension of the insert is a standard A4 (210 by 297 mm) and should not exceed the maximum allowed weight of 250 gr. A prototype of the insert must be supplied for approval by 15 January 2012. Inserts should be shipped to be received no later than 1 February 2012. More precise details with shipping instructions will be provided after approval of the insert.

 

 

Travel and Accommodation Costs Invited Speakers

Several speakers have been invited to address a variety of current topics. Full details of the lectures can be found here. ESHRE invites all sponsors to support the scientific programme by sponsoring one or several of the invited speakers. Support of the speakers (i.e. scientific programme) will be acknowledged in the proceedings/final programme.

• Price US speakers = 4,000 Euro per speaker (exclusive VAT)
• Price EU speakers = 2,000 Euro per speaker (exclusive VAT)
 

 

Coffee Breaks

Price = 4,000 Euro per coffee break (exclusive VAT)

There will be three coffee breaks (one each day) during the workshop. All sponsors are invited to support one or several coffee breaks. Support will be acknowledged in the final programme.

 

 

Ball Pens / Pencils

Ball pens or pencils will be inserted in the congress bags. Sponsorship or ball pens or pencils consists of the production and delivery of the pens or pencils Companies that support ball pens or pencils are entitled to print company name and company logo on the ball pens or pencils. It is not allowed to print product names on the ball pens or pencils. A fee of 1,000 Euro (exclusive VAT) will be charged for advertising rights.

 

 

Note Pads

Note pads will be inserted in the congress bags. Sponsorship of note pads consists of the production and delivery at the congress venues. Companies that support note pads are entitled to print company name and company logo on the pads. It is not allowed to print product names on the note pads. A fee of 1,000 Euro (exclusive VAT) will be charged for advertising rights.

 

 

Delegate bags

Congress bags containing the meeting materials will be distributed to all congress delegates. Sponsorship of the delegate bags will consist of the production and delivery of the bags by the sponsor a fee of 2,000 Euro (exclusive VAT) for advertising rights.

The company that supports the delegates’ bags is entitled to print company name and company logo on the bags. It is not allowed to print product names on the bags.

 

 

Lanyards (Badge cords)

Sponsorship of the lanyards will consist of the production and delivery of the lanyards by the sponsor a fee of 2,000 Euro (exclusive VAT) for advertising rights. The company that supports the lanyards is entitled to print company name and company logo on the bags. It is not allowed to print product names on the bags.
