Frequently Asked Questions

Q: Can I become a member and at the same time register for the Annual Meeting?

A: Membership fees only apply to members of ESHRE. Please note that although non-members can apply for membership before registering for the meeting, processing membership usually takes up to one week.

If you filled an on-line membership application form your membership will be activated within a few days. After the activation you can login with the account you used to register for membership, the system will recognize you as such and the member fees will appear.

You can also register at the non-member fee and indicate with the check box on the extra's registration page that your application is pending. Time and date of the application form has to be before time and date of the registration form. We will put your registration on hold until your membership is finalized. However, if your application is incomplete and fully processed after the registration deadline, LATE FEES WILL BE APPLICABLE EVEN WHEN REGISTRATION FORMS ARE RECEIVED BEFORE THE DEADLINE.

Please note that it's not possible to become a member and register at the same time at the on-site registration desk in Istanbul.

 

Q: I am an EU national and want to receive the invoice on my professional address but I don't have a VAT number. How can I proceed?

A: Please select personal address and mention the name of your affliation in the address field.

 

Q: Can I first register for the main programme or a precongress course only and afterward register additionally for a precongress course- only or the main-programme-only at the combined registration fee?

A: No, in these instances reductions that are offered for the combined option don't apply, the full fees will apply.

 

Q: Can I register somebody else and/or change the invoicing address.

A: You can indeed create an account and/or login with your own details to register somebody else by changing the contact details of the participant. You can do so with his/her member ID or by filling the fields. All correspondence concerning the registration will be sent to you. We need, however, the contact details of the participant to inform him/her about the conference directly.

On the same page of the registration form you can change the invoicing address.

 

Q: Can I register for only one of the main congress days?

A: No, day registrations are not available.

 

Q: Does the accompanying person registration fee include admission to the congress dinner on Tuesday evening?

A: No it doesn't, nor to any of the accompanying persons' programmes. Extra fees have to be paid for admission to these activities.

 

Q: I only want to visit the technical exhibition. Do I need to register for the main programme?

A: No, you can register for the exhibit only. You can request a registration form by e-mail (info@eshre.eu) or register onsite at the exhibitor registration desk.

 

Q: I'm registered but unable to attend. Can I get a refund of the registration fee?

A: A full refund (less 100 Euro administrative fee) will be granted, provided written notice is received at the Central Office on or before 30 April 2012. The refund will be issued after the end of the annual meeting.

After this date cancellations can be processed but will not be refunded.

It is, however, possible to change the person linked to the registration number if the fee remains the same - an ESHRE member can be replaced by an ESHRE member.

 

Q: How do I request an invitation letter for visa?

A: In vitation letters are sent to registered delegates. When your registration is processed by the Central Office, you can print your invitation letter on our website in the online registration form. If you requested the letter when you filled the registration form, a hard copy will be sent by global mail.
