Book a booth space

Floor plan exhibit

  • The exhibit area is subdivided in units of 9m² (3m x 3m) and has 2 entrances
  • Stand spaces are sold at a minimum of 1 unit of 9m² and a maximum of 405 m² (i.e. total of 45 units of 9m²).
  • The bookable aisles can also be booked in units of 9m² (3m x 3m). So you can use the bookable aisles as a space to construct your stand. The emergency aisles have to be kept free of stands.
  • In the yellow areas free ESHRE catering will be served to the congress delegates.
  • The yellow area in the middle of the floor plan is a restaurant: ESHRE catering will be served under the roof. On the 1st floor of the restaurant payable food will be offered from Monday to Wednesday.

Exhibit booth fees

Booth spaces will be sold at the following rates:

  • Inline booth (i.e. 1 side open towards aisle) = 350 Euro/m² (excluding VAT)
  • Corner booth (i.e. minimum 2 sides open towards aisle) = +5% on total surface cost
  • Island booth (i.e. with aisles on all four sides) = +10% on total surface cost
  • Exhibiting companies will receive 1 credit/m²

Shell schemes, furniture, electricity, etc. are an additional cost and can be rented in accordance with specifications that will be provided in the Technical Exhibitor Manual (available in January).

Exhibitor benefits
  • Exposure at all exhibit hall events: Welcome Reception on Sunday evening 1 July at 20:00, three (3) lunch breaks and five (5) coffee breaks
  • Exclusive hours with no competing scientific sessions during the Welcome Reception, lunch and coffee breaks
  • Stand holders are entitled to a number of free badges depending on the booth size. More information can be found here
  • A Free 100-word company description will be published in the exhibitors’ guide and congress app

 

How to book a booth space – New system!

Booth space assignment process
  • Stand assignment is determined by a credit system whereby each exhibiting company/sponsor will obtain credits for each item that is sponsored at the past 3 previously held meetings.
  • The total number of credits that are accumulated for the past 3 years by each exhibitor/sponsor will determine the place of the exhibitor/sponsor in the ranking order. Stands will be assigned according to the place in the ranking order.

 

Ranking list

For ESHRE 2019 a new ranking procedure will apply:

  • The Top 15 exhibitors will be contacted one by one according to their deadlines (from 18 September to 20 November)
  • Group 16: can start booking their booth space as of 21 November 2018
  • Group 17: can start booking their booth space as of 28 November 2018
  • Group 18: can start booking their booth space as of 5 December 2018
  • Group 19: can start booking their booth space as of 12 December 2018
  • Group 20: can start booking their booth space as of 19 December 2018
  • Group 21: can start booking their booth space as of 4 January 2019
  • Group 22: can start booking their booth space as of 11 January 2019
  • Exhibitors who are not in the ranking list and New exhibitors can start booking a booth space as of 18 January 2019

Please note the following:

  • Within each group (n°16 to n°22) a first-come, first-served policy will be applied.
  • E.g. Exhibitors of group n° 16 can still book their booth after 28 November or 5 December, but then it’s possible that an exhibitor of group °17 has already applied for their booth and so on.
  • Applications received before the official dates for booking will not be processed.
  • We are currently working on an online booth application system. It should be online in the course of November.
