How to make a group registration

The Best of ASRM and ESHRE 2021

To register a group (minimum of 10 people), please follow this procedure.

For less than 10 participants, please go to the individual registration form, where they can be registered one by one.

1. Log in to access the online registration portal

Always log in with your own, personal account!

You can register yourself or someone else with your own account so there is no need to create or use another person’s account. In case you do not have an account, please create one here first. 


2. Make your group registration

Logged in? You can now start with the online registration process. At this stage, you only need to indicate the number of participants (*to be registered at the current rate.

(*) No participants’ details need to be entered.

Go through all the steps by entering all mandatory fields:

Contact details

The system will automatically take the details of the person who logged in as the contact person.
All correspondence will go through this person.

Invoice address

Make sure that all details are entered correctly. These details will be used on the final invoice.
Keep in mind that it is not be possible to make any changes once the final invoice has been sent.

Number of participants

No delegate details have to be entered when making a group registration. Only the number of registrations has to be indicated. Please keep the minimum (10) and maximum (250) per group in mind!


3. Confirmation letters

Once the group registration has been created, you can close your registration (with or without payment).
A preliminary confirmation will be sent by e-mail to the group responsible. This does not mean that your group is finalised!
Keep in mind that a registration is only finalized once it has been accompanied with payment!
Payments should be received by the corresponding deadline. Failure to do so will automatically push the group registration to the next available rate. All registration fee deadlines can be found here.

ESHRE accepts payment by bank transfer and credit card. To easily trace your payment, please indicate your registration number (LIA21-****) in your remittance. Payments by bank transfer will only be possible until Friday, 26 March 2021. Afterwards payments can only be done by credit card (Visa, Mastercard or American Express)!

4. Official Confirmation Letter (E-Coupon codes)

The group representative only receives the official confirmation letter once the full payment has been received and processed by ESHRE. The official confirmation letter contains a list of e-coupon codes (one per participant) with clear instructions.

An e-coupon code is not linked to anyone and can be used by any person.

Keep in mind that each e-coupon is unique and can only be used once (by one person).

It is the group representative’s responsibility to forward the e-coupon codes one by one to the delegates so they can activate it themselves.
The delegates will activate the e-coupon code (NOT the group representative). 


5. Manage group (add extra participants) 

Keep in mind that it is not possible to add extra participants to an already existing group.
For additional registrations, a new/additional group will have to be created
Keep the minimum of 10 people in mind for a new group. If you have less participants, you will have to go to the individual registration portal.


6. Certificate of attendance

The certificate of attendance will become available online at the end of the virtual event. This document can only be downloaded online after completing the evaluation form.

Please be informed that this is a personal document and can only be downloaded by the participants.
